The office administrator manages the reception of NorthgateArinso. This includes tasks such as answering calls and welcoming visitors in a professional way while performing other administrative tasks.
As the first contact point to external parties, the office administrator always has to act professionally and ensure an effective, professional client service provision.
The Office Administrator has following responsibilities:
• Professionally and effectively answer, screen and/or transfer incoming calls
• Welcome office guests in a professional way, follow sign-in procedure as requested andannounce arrival of visitors in a timely manner
• Maintain agenda of meeting rooms up to date, schedule and prepare (client) meetings properly
• Organize catering requirements and coordinate with catering company in relation to delivery
• Make travel arrangements for staff as needed (taxi, train, plane, hotel…)
• Monitor stock levels of office supplies and manage purchase orders for stationary requirements to ensure a timely delivery
• Maintain relations and contacts with suppliers and other 3rd parties
• Sort and file incoming mail and prepare outgoing mail
• Be in charge of variousadministrative tasks and provide administrative support to management when required
• Take creative initiatives to improve reception processes
